In the following, the Office for Vocational Education and Career Counseling, as the responsible body pursuant to Art. 13 and Art. 14 of the EU General Data Protection Regulation (GDPR), informs you about the manner and background of the processing of your personal data in connection with our activities. The following information applies equally to learners, their legal representatives, parents, guardians, contact persons of the training company, vocational trainers, advice seekers and other persons affected by the data processing.

The primary purpose of processing personal data is to fulfill the legal mandate incumbent upon us. This includes general counseling before and during basic vocational training and further education measures. During career choice and basic vocational training, learners are accompanied in an advisory capacity in close cooperation with teachers and training companies. In addition, the Vocational Information Center (BIZ) is managed and operated.

Mainly we carry out the following processing activities:

  • Maintaining a directory of apprenticeship companies and vacant apprenticeship positions,
  • Approving apprenticeship contracts,
  • Preparation of educational ordinances,
  • Granting educational permits,
  • Issuing grade cards and certificates of proficiency,
  • Vocational, academic and career counseling

The legal bases for the processing activities are set out in Articles 13, 37, 55, 56, 64 and 67 of the Vocational Training Act (BBG). If the personal data are not processed on the basis of the public mandate, the legal basis in individual cases is your consent pursuant to Article 6 (1) (a) DSGVO.

The following personal data are collected, recorded and processed in the course of our activities:

  • Learners: Name, first name, date of birth, country of residence, canton of residence, address, telephone number, insurance number, gender, nationality, correspondence language, e-mail address, health data if applicable;
  • For underage learners: Names of parents or legal representatives, country of residence, canton of residence, address, date of birth, gender, nationality, e-mail address, if applicable, names of siblings;
  • In addition, for those seeking advice: Data on previous education, training, certificates, grades. Information from personality tests, interest tests, if necessary health data.
  • Contact data contact person/professional educator: name, first name, company address, e-mail address.

If the data is not collected from you personally, the information on personal data comes from the following sources: Central Master Data FL (ZSD), Compass (ABB official software)

The Office for Vocational Education and Career Counseling transmits your data to the competent vocational school as well as to the bodies responsible for conducting examinations and other qualification procedures, which require them to fulfill their duties under the BBG or BBV.

The transfer of personal data to Switzerland as a third country takes place due to our membership in the association Interessengemeinschaft Informatik im Berufsbildungswesen IGIB/GRIF for the purpose of intercantonal cooperation in vocational education and training. Switzerland has been certified by the EU Commission as having an adequate level of data protection pursuant to Article 45 of the GDPR.

The storage period for data processing is based on special legal requirements regarding retention periods or the Archiving Act. Once the purpose of the data processing has been achieved and there are no legal retention periods that prevent the destruction of your data, the personal data will generally be added to the respective deletion concept.
