Educational report - an important tool for guiding apprentices

Talking to the apprentices

The creation of the education report enables you and the apprentice to carry out an operational assessment of the current situation every 6 months in the context of a management discussion. Please use the official
Form Education Report. You can then follow the same grid for each interview. This makes it easier to compare with previous assessments.

You as a vocational trainer should not only carry out this management task because the ordinance on vocational training prescribes it, but also because it gives both sides the opportunity to recognize progress or problems in the basic training.

Fill out education report

You and the apprentice should complete the Form Education Report  before the interview-each on their own. This will help the apprentice learn to self-assess. Allow enough time for the self-assessment. Also, take time to prepare before this interview.

By its very nature, the control of this conversation is yours. If you follow these rules, you will not find this difficult.

Planning the Conversation

  • Schedule enough time.
  • Make sure neither of them will be disturbed.
  • Conduct the conversation in a businesslike manner.
  • Encourage the apprentice to offer constructive criticism (suggestions for improvement, factual comments on a person's behavior, etc.).
  • Let the apprentices speak freely and also allow longer pauses.
  • Try to address even negative points positively.
  • Look for special signals ("casually" mentioned, body language, etc.).

Questions / General tips

  • Please ask open-ended questions (who, how, where, when, why) and preferably not suggestive or taboo questions.
  • Show interest in his/her social environment (family, leisure activities, etc.).
  • Make clear to the apprentices, if necessary, that peers have similar problems.
  • Adapt to the language capabilities of the young people. Especially with foreign-language young people, simple language is important so that you are also understood safely.
  • Point out possible solutions, but also let the apprentices suggest how they would solve the problem.
  • Maintain balance between attention and distance.
  • Hold back as much as possible with your emotions, especially in the beginning.
  • Summarize the conversation at the end. Agree on measures and a schedule for their implementation.
  • Supervise the implementation personally.
